Overview

Meeting rooms were booked over WhatsApp and sticky notes, so double-bookings were routine. We built a mobile app that handles the whole meeting — room availability, scheduling, participant invites, minutes (MOM), and extending a session that runs long — plus ordering food to the pantry, all synced to an admin dashboard and working offline on weak office WiFi.

The Challenge

The client's office had multiple meeting rooms frequently double-booked through manual processes (WhatsApp messages, sticky notes). They needed a digital solution that worked on both desktop and mobile, with offline support for areas with weak WiFi.

Our Solution

We built a Laravel-powered web dashboard for administrators alongside a Flutter mobile app for end users. The app included room booking, MOM (Minutes of Meeting) recording, participant invites, and meal ordering — all synced through a REST API with local SQLite fallback.

The Result

Room booking conflicts dropped to near zero. The MOM feature reduced post-meeting admin work by over 60%. Staff adoption was high due to the intuitive mobile UX, and the client expanded the system to a second office location within 6 months.
